Enter actual hours and costs on Jobs. The Dashboard shows what you made against what you figured, job by job.

Yes. The Settings tab explains each one in a sentence and starts you on typical numbers for a small crew. Burden is what payroll tax, workers comp and insurance add on top of wages. Overhead is the cost of running the business that is not tied to one job. Replace the starter numbers as you learn yours.
Yes, through your print dialog. The Quote, Change Order and Invoice tabs are set up to print on one page. Pick the job number, then Print and Save as PDF. The customer sees prices only: your cost columns and margin sit outside the print area.
It does not take card payments, text customers, dispatch crews or run a customer portal. Field-service apps such as Jobber, Housecall Pro and Joist do those things. If you need them, a field-service app is the right tool. This is for the quote, the change order, the invoice and knowing your profit.
In Google Sheets, share the file the way you share any Sheet. It is one file with one set of rates, not a multi-user app with logins and permissions.
